Why you need consent

Body measurements, health limitations, and physique photos are special categories of personal data under GDPR. Unlike ordinary contact details, you cannot process them simply because a client sent them to you. You need explicit consent that you can demonstrate. For a coach, this is not extra bureaucracy but protection: a signed consent form shows that the client knew what you collect and why. We explain the details in our GDPR guide for personal trainers.

Common questions

When do I need consent?

As soon as you work with health information, body measurements, or physique photos. In practice, that applies to almost every coached client. You can process ordinary contact details to deliver the agreed service, but special-category data requires explicit consent.

Is verbal consent enough?

GDPR does not prescribe a format, but you must be able to demonstrate consent. A verbal agreement is difficult to prove. A signed document or confirmation in an app gives you evidence that you can defend later.

What if a client refuses consent?

You can still train together, but without health information or physique photos. Explain what the data is used for. Most clients agree once they understand how it supports their coaching.

How does consent relate to the intake questionnaire?

The questionnaire collects the data, while consent allows you to process it. They belong together: a new client signs the consent first, then completes the intake questionnaire.
